We are seeking a detail-oriented and organized Logistics and Operations Coordinator to join our team at Grounded Solutions. The ideal candidate will play a crucial role in ensuring the smooth flow of materials, products, and information through our supply chain and operations.
Key Responsibilities:
1. Materials Management
- Coordinate the procurement, receipt, and inventory management of electrical components and materials
- Ensure accurate stock levels and initiate replenishment orders as needed.
- Conduct regular audits to verify inventory accuracy.
2. Order Processing
- Process orders, including order entry, picking, packing, and shipping.
- Track order status and communicate updates.
- Resolve any order-related issues or discrepancies.
3. WarehouseLogistics and Deliveries
- Coordinate project material logistics and deliveries/pickups
- Ensure compliance and safety standards.
- Manage transportation costs and optimize delivery/pickup routes.
4. Permitting and Compliance:
- Assist in obtaining the necessary permits, locates and approvals for electrical projects or installations.
- Ensure compliance with local, state, and federal regulations related to electrical work.
5. Estimating Support:
- Assist the estimating team by gathering data and information needed for project bids and proposals.
- Maintain accurate records of project estimates and cost data.
6. Documentation and Reporting:
- Maintain accurate records, including invoices, purchase orders, and shipping documents.
- Generate reports on inventory levels, order fulfillment, and logistics performance.
7. Communication and Coordination:
- Collaborate with internal teams, including procurement, sales, office staff and project management, to ensure seamless operations.
- Communicate with vendors, suppliers, and Project Managers to address inquiries and resolve issues.
8. Fleet Management
- Vehicle Acquisition and Disposal
- Scheduling and coordinating regular maintenance, inspections, and repairs.
- Monitoring driver performance, behavior, and safety compliance.
- Installing and managing GPS and telematics systems to track vehicle location and performance.
- Analyzing data to optimize routes, reduce idle time, and improve overall efficiency.
- Managing permits, licenses, and inspections as required.
- Budgeting for fleet-related expenses and controlling costs.
- Managing insurance and claims in case of accidents or incidents.
- Keeping an accurate inventory of all fleet assets and equipment.
- Adopting and managing fleet management software and technology solutions.
- Developing plans for emergency situations such as accidents or breakdowns.
- Ensuring drivers are equipped with necessary tools and information for emergencies.
Qualifications:
- Bachelor's degree in a relevant field or equivalent work experience.
- Proven experience in logistics, operations, or materials coordination, preferably in the electrical industry.
- Strong knowledge of electrical components and materials.
- Proficiency in using logistics and inventory management software.
- Excellent organizational, communication, and problem-solving skills.
- Ability to work in a fast-paced and dynamic environment.
- Knowledge of relevant regulations and permitting processes is a plus.
